The Ultimate Wedding Stationery Timeline: When Should You Order Everything?
Planning a wedding involves hundreds of decisions, and stationery is often something couples don't think about until much later in the planning process.
But your stationery isn't just about choosing a beautiful design. There are several stages to consider, from save-the-dates and invitations through to your table plan and on-the-day details.
Getting your timings right means you can enjoy the process without feeling rushed — and gives your stationer enough time to create something that feels considered and completely right for your day.
Here's our guide to when you should start thinking about each stage of your wedding stationery.
12–18 Months Before: Start Thinking About Your Stationery
You don't necessarily need to order anything at this stage, but it's a good time to start exploring your options.
Think about the overall feel of your wedding and how you want your stationery to complement it. You might already have your venue, colour palette or flowers chosen, which can help shape your stationery style.
This is also a great time to:
Research wedding stationers
Explore different stationery styles and finishes
Decide whether you'd like bespoke or semi-custom stationery
Consider your overall colour palette and typography
Start thinking about whether you'll send save-the-dates
If you're considering bespoke stationery, starting early gives you more time to find the right designer and develop your ideas without having to rush the process.
9–12 Months Before: Save-the-Dates
Save-the-dates are particularly useful if you're getting married during a popular season, have lots of guests travelling, or are planning a destination wedding.
They don't need to contain all of your wedding details. Their main purpose is simply to let your guests know the date and give them plenty of notice.
At a minimum, include:
Your names
Your wedding date
The general location
A note to say that a formal invitation will follow
If your guest list is already fairly settled, this is also a good point to make sure you have up-to-date addresses for everyone.
6–9 Months Before: Start Designing Your Invitations
This is where your stationery starts to take shape.
Ideally, allow plenty of time for the design process rather than leaving it until invitations need to be posted.
You'll need to decide what information your guests need and how you want it presented.
Depending on your wedding, this could include:
Main invitation
RSVP card
Details or information card
Accommodation information
Travel information
Wedding website or QR code
Dress code
Gift information
This is also the time to consider the finer details — such as paper stock, envelope colours, liners, ribbon, wax seals and other finishing touches.
If you're choosing bespoke stationery, remember that the design process can involve initial concepts, amendments, proofing and final approval before anything goes to print.
4–6 Months Before: Send Your Invitations
For many UK weddings, around four to six months before the wedding is a comfortable point to send your formal invitations.
Your exact timing will depend on your wedding and your guests.
For example, you may want to send them earlier if:
Your wedding is abroad
Lots of guests are travelling
Your wedding falls during a busy holiday period
Accommodation is limited
You need guests to make arrangements well in advance
Before sending, make sure every detail has been checked carefully — including names, dates, times, addresses and RSVP information.
It's always worth having another person read through the final proof too. A second pair of eyes can spot something you've become too familiar with to notice.
2–3 Months Before: Finalise Your RSVPs
As your RSVP deadline approaches, you'll start to get a much clearer picture of your final guest numbers.
This is when your stationery starts to move from invitations towards the details your guests will see on the wedding day.
You'll want to start considering:
Final guest numbers
Dietary requirements
Children attending
Seating arrangements
Table numbers or names
Menu requirements
Any reserved seating
You don't necessarily need to have everything designed and printed at this point, but having a clear idea of what you need will make the next stage much easier.
6–8 Weeks Before: Order Your On-the-Day Stationery
Now it's time to think about the stationery your guests will interact with throughout the wedding day.
This might include:
Welcome sign
Order of the day
Table plan
Table names or numbers
Place cards
Menus
Reserved signs
Bar signage
Guest book sign
Favour tags
Additional personalised signage
Your on-the-day stationery doesn't have to be extensive. The right pieces will depend on your venue, your plans and how you want your guests to experience the day.
This is also where having a cohesive stationery suite really makes a difference.
Using the same typography, colours, motifs and design details from your invitations throughout your wedding day creates a considered look from the moment your guests arrive.
2–4 Weeks Before: Final Checks
By now, your guest list and seating arrangements should be almost completely confirmed.
Before anything goes to print, carefully check:
Every guest's name
Table names or numbers
Dietary requirements
Menu wording
Spelling and punctuation
Order of the day timings
Venue details
Signage wording
This is one of the most important stages of the stationery process.
Once something has been printed, correcting an error can be difficult — particularly when you're working to a wedding-day deadline.
Wedding Week: Everything Comes Together
By the week of your wedding, your stationery should be finished, packed and ready for delivery or collection.
If your stationer is providing setup, this is also when you'll want to have arrangements confirmed with your venue.
The finished stationery should feel like a natural part of your wedding rather than something added at the last minute.
From the invitation your guests received months ago to the place card waiting for them at their table, every detail contributes to the overall experience.
A Note From Your Stationer
Every wedding is different, so there isn't one timeline that will work perfectly for everyone.
The complexity of your stationery, your guest list, whether you're having bespoke designs and the amount of finishing involved can all affect how much time you'll need.
The most important thing is not to leave it until the last minute.
Giving yourself plenty of time means there's room to explore ideas, make considered design choices and make sure every detail is exactly as you want it.
